m Booking Conditions and General Conditions of Carriage
A. Prices
1. Prices are based on known costs as at 1st April 2002.
2. What the price includes is specifically stated in our brochures and
leaflets.
3. Tour Prices quoted do not include accommodation, food, fares to /from
your pick up/ drop off point, drinks, snacks, entrance fees/ personal
items.
4. Road Trip operates a kitty system and this must be paid on the day
of departure to the tour host in CASH. The tour kitty prices varied
from tour to tour - for up top date prices please see link from the
website or ask staff for details. The Kitty will include Accommodation
based on standard mixed rooms, Breakfasts, some evening meals and some
entrance fees.
B. Bookings
1. Bookings are necessary and can be made by contacting us direct or
through our booking agents.
2. A booking is accepted as confirmed when payment for each member of
the party is made in full or;
If paying by Cash on the day: A booking is accepted as confirmed if
verbal agreement have been reached where by you, the client give Road
Trip the authorisation to debit the amount agreed by means of a credit
or debit card that you have provided us details of, if full cash payment
is not received on the day of travel.
3. All clients who book will have agreed and accepted the cancellation
terms stated below
4. Road Trip will not be liable if incorrect details in the form of
written conformations of your booking are received by you, the client.
Whilst we endeavour to make details on conformations accurate and correct
and train our staff to the very best level of competence - some errors
may occur. Please be diligent in assessing your confirmation and call
a member of the Road Trip staff if there seems to be an inconsistency
with what you have verbally agreed and what is received by you in writing.
Your ultimate conformation is the verbal contract between yourselves
and the Road Trip telephone staff who will make you aware of the tour
you book, travelling dates and times and what the tour includes
C. Tickets and confirmations
1. You need an appropriate ticket. Confirmation of booking to travel
on a Road Trip tour.
2. For all bookings your email confirmation shall act as your ticket.
3. Where two or more persons are included on the same ticket or booking
reference, the person purchasing the ticket or issued with a booking
reference shall be deemed to do so on the basis that he acts as an agent
for both or all members of the party and accepts these booking conditions
on behalf of each member of the party.
4. Tickets are not transferable. They may only be used by the passenger
for whom the ticket was bought.
5. Children under 16 years of age are carried at the discretion of Road
Trip.
D. Cancellation of bookings and refunds
1. If you have to cancel your booking you must notify us immediately.
2. By making a Road Trip booking you are also guaranteeing to cover
the cost of the Road Trip Kitty cost for each member booked on the Trip.
3. Cancellations are validated only when acknowledge by Road Trip (either
by verbal agreement or in writing) in the form of a cancellation reference
number.
Notice of cancellation and cancellation costs, to which the party is
responsible for, who booked the tour is as follows;
More than one week Up to 50 % at discretion
Less than one week 90%
Less than 48 hours 100%
4. We shall not make refunds in any other circumstances. In particular,
no refund will be made after the scheduled date or time of departure.
Missed departures shall be treated as cancellations. We cannot be responsible
for failure of public transport or traffic delays, which may prevent
you from taking the tour. We shall try to accommodate you on another
tour (subject to availability and a 50 percent surcharge).
E. Responsibilities of the passenger.
1. Passengers should aim to be at the pick up point for their tour at
least 10 minutes prior to their scheduled departure time. We cannot
guarantee that your seat will not be given to another passenger if you
arrive later than the scheduled departure time and no liability will
be accepted in such circumstances.
2. Passengers must allow plenty of time for they’re to return
in time to connect with other form of transport. We do not accept responsibility
for any delays caused by circumstances beyond our control.
3. Passengers are responsible for getting any luggage on or off the
mini- coach. Passengers must also look after their luggage and personal
effects at all times whilst at the pick up point, at the stops and on
the mini - coach.
4. Stops are made during the tour for sightseeing and refreshment. You
must return to the mini- coach punctually within the time allowed for
those stops. Your mini - coach may have to leave without you if your
return is overdue and we shall not be liable for the consequence.
F. Personal luggage and personal effects.
1. Passengers are permitted to carry in the mini - coach one small bag
each.
2. Passengers are responsible for their luggage and personal effects
at all times whilst at the pick up point, at the stops and in the mini
- coach.
3. We will not be liable for loss or damage to luggage or its contents
or personal effects resulting from carrying or leaving any luggage or
personal effects on our mini - coaches.
G. Accident or Loss
1. We have no liability for loss, damage, delay, inconvenience, or direct
or consequential loss, however caused, unless due to our employee’s
negligence, in which case our liability is limited to a maximum of the
refund of the tour cost.
2. We shall not be liable for any loss, consequential loss, inconvenience
or delay arising out of the breakdown or failure of any vehicles or
from circumstances beyond our control.
H. Personal Insurance.
1. Personal insurance is not included. Passengers are advised to arrange
their own personal insurance cover.
I. Nuisances
1. In the interests of all passengers the following rules apply: -
a) Smoking - you are not permitted to smoke whilst on board our mini
- coaches but all tours make frequent stops. You must also regard any
No Smoking signs with respect when staying at any of our hostels.
b) Alcoholic drinks - you are not allowed to take into our mini- coaches
any alcoholic drinks for the purpose of consuming them, nor to drink
such drinks on our mini - coaches or to remain on the vehicle when in
the opinion of the driver you are under the influence of alcoholic drink.
c) Drug and Solvent Abuse - you are not permitted to board or remain
on board our mini - coaches whilst under the influence of drugs and
/ or solvents and while staying at any of the Hostels we frequent.
2. Failure to comply with any of the above may result in you being required
to leave the mini - coach and tour in the interests of fellow passengers
and clients. Should this happen you will not be entitled to any refund
or compensation and we shall be under no further obligation or liability
to you.
J. Changes to tours and excursions.
1. Every care will be exercised in the arrangement of tours. However,
we will not be liable for unexpected and unforeseen circumstances beyond
our control.
2 Changes may be made to tours to respond to unexpected and unforeseen
circumstances. Your driver has to exercise his/her discretion on the
effects, which these may have on the tour.
3. If we fail for whatever reason within our control to complete a tour
we will provide suitable alternative transport but our liability shall
be limited to the cost of providing transport to the agreed drop off
points. We have no liability for any loss, damage, delay, inconvenience
or direct or consequential loss.
4. Each tour operates subject to sufficient demand. We reserve the right
to cancel or alter arrangements. In this event all monies paid will
be refunded.
5. In the event that an advertised place of interest shall be closed
every endeavour shall be made to substitute an alternative but the company
reserves the right to cancel or alter arrangements.
6. The published pick up and drop off times are approximate only. We
do not undertake that tours will start or return at the times specified
in our brochures and leaflets. We have no liability for any loss, damage,
delay, inconvenience or direct or consequential loss caused as a result
of the late departure or return of a tour.
K. General Conditions
1. No servant or agent of ours can vary our conditions and any such
purported variation shall be of no effect unless it has been signed
by one of the Partners of Road Trip.
2. We may at our discretion require any person to withdraw from any
tour at any time if we deem their acts offensive or a nuisance to other
passengers. Should this happen you will not be entitled to any refund
or compensation and we shall be under no further obligation or liability
to you.
3. Any complaint should, in the first instance be communicated the driver
or tour guide. Should the matter remain unresolved then passengers must
report the matter to Road Trip without delay with confirmation in writing
not later than 7 days from the return of the tour.
L. Governing Law
1. English Law shall govern these conditions in all respects. Any passenger
bringing any action against us submits to the jurisdiction of the English
Courts.
